Terms and Conditions
Space Assignment
Space will be assigned on a first come, first served basis. No space will be assigned until full payment is received. Pershing LLC (Pershing) reserves the right to shift space assignment after the contract has been signed if it becomes necessary to do so. Space is leased with the understanding that the exhibitor will hold Pershing harmless from any and all liability which may result from any cause whatsoever.
Payment
Payment is due in full prior to the start of the conference. Space will not be assigned until payment is received.
Cancellations
All requests for cancellation must be submitted in writing to INSITE@pershing.com.
Arrangement of Exhibits
Exhibit Hall tables are assigned on a first come, first paid basis with priority given to sponsors.
All exhibitors will receive one draped table and one wastebasket. Computer equipment, electricity, phone lines, and/or labor will be provided by the exhibitor, at his/her own expense and responsibility.
All exhibitors must purchase these items from the official show supplier and will be billed directly. Additional details regarding official show suppliers will be mailed to exhibitors prior to the event.
General Restrictions
The Pershing Exhibit Hall spaces allow for 8’ tabletops, with the exception of the ten 8 x 10 foot exhibit booths that are reserved for sponsors. Exhibitors are permitted to bring tabletop displays or banners only. Freestanding 10 foot exhibit displays and brochure racks are only permitted in the 8 x 10 foot exhibit booths. All displays, signage, banners, marketing materials, and giveaways MUST fit on your table or in your designated booth space. Displays may not contain side panels that could interfere with or block visibility of another exhibit. Exhibitors will not be permitted to hang signs or banners on the permanent walls or ceiling. The use of flammable materials, amplifying equipment, or anything which, in the opinion of Pershing, may cause a health or safety hazard, is strictly prohibited.
Liabilities
The exhibitor agrees that Pershing, its affiliates, officers, employees and agents, and the hosting facility and its employees will not be responsible for any damages to or for the loss of or destruction of the exhibitor’s property or injuries to the exhibitor, its representatives, agents, or employees. In addition to all claims for such loss, damage, destruction, or injury being expressly waived by the exhibitor, Pershing will be exempt from or indemnified against any claims for injury to any of the exhibitor’s representatives, agents, or employees. Pershing and its affiliates will not be liable for failure to hold the exhibits as scheduled as a result of any force majeure including, but not limited to, fire, flood, earthquake, severe weather event, acts of God, war, terrorism, riot, disease outbreak, travel deemed inadvisable or otherwise restricted, labor dispute, or any other act beyond the control of Pershing which makes it impossible or impractical to hold the exhibition. In the event of cancellation by Pershing due to force majeure, Pershing will return a portion of the amount paid for space by the exhibitor, after deducting any amounts necessary to cover expenses incurred in connection with the Exhibit Hall.
Insurance
Exhibitors wishing to insure their materials, goods, and/or wares on display in the Exhibit Hall against damage by fire, accident, loss, or liability of any kind, must do so at their own expense.
Pershing will provide security service during the hours the show is open to the public, including the official periods of exhibit installation and dismantling. The furnishing of such service is in no case to be understood or interpreted by exhibitors as guaranteeing them against loss or theft of any kind.
Rules and Regulations
Exhibitors will abide by all other provisions of these rules and regulations, and by such additional rules and regulations that may be established by the hosting facility. Exhibitors agree to comply with and be bound by laws of the United States and the state where the Exhibit Hall is located, including local fire codes. Any matters not covered here shall be subject to the final judgment and decision of Pershing.
Non-Competition
As an exhibitor, you agree not to engage in or participate in any unfair competition with Pershing.
Exhibitors agree not to contact, directly or indirectly, the clients disclosed by Pershing for purposes of soliciting business away from Pershing, or for introducing to clients any third parties who have any business interest which competes with Pershing.
